Administrative Assistant (Part-time)
This position will be needed on a part-time basis for approximately 20 hours or less per week. The daily job tasks will be typical office administrative duties, including the following: *Receptionist/phone *Report preparation and compiling *Filing and organizational duties *Time/data input *Project invoicing and billing *Various other tasks as necessary Responsibilities: -Attend meetings in order to record minutes. -Compile, transcribe, and distribute minutes of meetings. -Conduct research, compile data, and prepare papers for consideration and presentation. -File and retrieve documents, records, and reports. -Make travel arrangements for others and prepare expense reports. -Open, sort, and distribute incoming correspondence, including faxes and email. -Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work. -Prepare agendas and make arrangements for meetings. -Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, and/or presentation software. -Prepare responses to correspondence containing routine inquiries. -Read incoming memos, submissions, and reports in order to determine their significance and plan their distribution. Qualifications/Competencies/Experience: Has developed knowledge and skills in own area; may still be acquiring higher level skills. Works with moderate supervision/ guidance; accountable for individual results and impact on team. Expands knowledge and skills. Works on straightforward tasks using established procedures; work is subject to review by others. Depends on others for instruction, guidance and direction. Previous experience in an engineering environment is preferable. Proficiency in Microsoft Office Suite. Attention to detail. Proofreading and editing. Written, verbal, and interpersonal skills.
